    a. Scheduling and Calendar Management is the first primary responsibility.

    You will assist with organizing schedules, as non-profits often have a plethora of meetings, events, and deadlines. You will assist us in overseeing the calendar to ensure that nothing is overlooked, while also sending reminders and updates to all participants. Specific tasks include:
    1. Organizing Meetings: Coordinating meetings with board members, volunteers, donors, and partners; 
    2.   Sending Reminders: Keeping everyone informed about upcoming meetings and events; Avoiding Conflicts: 
    3. Ensuring there are no scheduling overlaps or conflicts.
    Additionally, you will assist with Handling Emails and Phone Calls. We frequently receive numerous messages from volunteers, donors, and partners. As an NGO Management volunteer, you can: 
    1. Answer Basic Questions: Address common inquiries and provide information about the organization; Forward Important Messages: Ensure that critical emails and calls are directed to the appropriate person promptly; 
    2. Organize the Inbox: Maintain a tidy and organized email inbox. 
    3. By managing communications, you will help us save time, enabling us to concentrate on more essential tasks. Emails and phone calls can become overwhelming, particularly with multiple projects in progress. For instance, during an upcoming event, you may receive inquiries regarding volunteer opportunities, partnership proposals from other organizations, and public questions about our programs. As a volunteer, you can prioritize these communications, offering immediate responses to straightforward queries and forwarding more complex issues to the relevant staff members. This approach guarantees that all communications are addressed swiftly and professionally, upholding the organization’s reputation and operational efficiency.
    b. Event Planning and Coordination: 

    As an NGO Management assistant, you can significantly contribute to our event planning efforts. We frequently host fundraising events, workshops, and community initiatives. Your responsibilities may include: 
    1. - Venue Booking: Identify and secure locations for our events. 
    2. Catering Arrangements: Organize food and beverages for attendees. 
    3. Logistics Management: Oversee details such as transportation, seating arrangements, and equipment setup. 
    4. Event Promotion: Distribute invitations and manage social media outreach. 
    With a dedicated volunteer managing these responsibilities, the organization will ensure events are executed efficiently and effectively. For instance, when focusing on child sponsorship and free medical camps, we may host a charity gala to secure funding for new beneficiaries or an upcoming medical camp. The NGO Management volunteer would be tasked with locating an appropriate venue, liaising with vendors for catering, decorations, and entertainment, and overseeing the guest list. They would also manage all logistical aspects on the event day, ensuring a seamless experience for all attendees.

    NGO Management volunteer can assist with maintaining records. Nonprofits must track donations, expenses, and volunteer contributions. Your tasks could include:

    1. Kenyan Currency, Mobile Phones, and Internet Access

    • Having a mobile phone will enable you to stay in touch with your family and friends. Local SIM cards are available, with Safaricom being the predominant provider. A SIM card can be purchased for approximately 1 US Dollar, offering competitive rates. The local currency is the Kenyan Shilling, and you can exchange money at malls or withdraw cash from ATMs. U.S. dollars are accepted for entrance fees at National Parks. 
    • Acquiring a local SIM card enables you to access M-Pesa, a popular and user-friendly mobile payment platform in Kenya. This facilitates seamless transactions, whether in markets, for transport fares, or even in remote villages across Kenya, eliminating the need to carry cash. This is particularly beneficial as taxi drivers often claim they lack change and may retain excess amounts. With M-Pesa, you can pay the exact fare required, unless you choose to provide a tip. Additionally, you can top up your M-Pesa account using services such as Wise.
    • Internet access is available via Wi-Fi in accommodations, workplaces, and public areas such as cafes and shopping centers. Alternatively, modem sticks for laptops can be purchased for additional connectivity options.
    2. Packing Essentials (Required items): 
    • eTA-Visa, which can be obtained via this link (https://www.etakenya.go.ke/de/evisa)  
    • Passport (ensure it is valid for at least 6 months beyond your date of entry),  
    • Yellow Fever vaccination certificate,  
    • credit card and/or cash,  
    • power adapter for local outlets.  
    • Recommended items: personal toiletries, travel pillow, wet wipes, hand sanitizer, durable footwear or shoes suitable for outdoor use, fanny pack, compact power bank, hairdryer, and clothing suitable for the weather (check the forecast before your arrival, as conditions may vary from your departure location). Laundry services are available for an additional fee.
    3. Meals 
    •  We offer a consistent weekly menu; however, if you would like an alternative meal, you are encouraged to make your own arrangements and utilize the kitchen appliances available in the apartment to prepare your meals.
    4. What can you expect on your first day with UCESCO
    • Upon your arrival, a member of the UCESCO team, either Kingsley or another representative, will meet you at the airport, and communication will be facilitated via WhatsApp. Your orientation is scheduled for the first weekday at the UCESCO office located in Kibera. If you arrive during the weekend, we can arrange a brief city tour or a one- to two-day safari; however, your first visit to the project will occur on Monday. Edna, the volunteer coordinator, will introduce you to the organization and its various initiatives, so feel free to ask her any questions you may have. You will have the opportunity to tour the Peggy Lucas School and other projects, with the day concluding around 2 PM. Following this, you may choose to visit the mall to acquire a SIM card (a passport is required) and set up an M-Pesa account.

    • Weekends are an ideal time for our volunteers to uncover the marvels of our nation through safaris. For trips outside Nairobi, such as to Masai Mara or Samburu, we recommend a minimum stay of two nights and three days (Friday to Sunday) to fully enjoy the experience. In contrast, safaris within or close to Nairobi can be completed in one or two days, typically over the weekend. Our organization is dedicated to ensuring you have sufficient time to explore Kenya, as we believe experiencing the rich lifestyle and culture of Africa is vital during your visit.

    A: Absolutely, you can. While those under 18 should have a guardian, it is not a strict requirement. We welcome minors aged 13 and above without a guardian, as long as there is proper coordination established. We guarantee their safe transit to and from the airport. Our organization is the sole trusted provider in Kenya for the care of minors, ensuring they receive the same level of attention and care as we would offer our own.

    Q: Is it possible to make a donation?

    A: Certainly! You can create fundraising campaigns on platforms like GoFundMe to gather extra support.

    A: The project site is located about 12 km/ 20 minutes drive from your accommodation.

    A: Yes, you have the option of staying in a shared apartment with fellow volunteers or with a family in a homestay with your own room.  
    Q: Are items such as towels, bedding, and flip-flops provided?  
    A: Yes, you do not need to bring these items, as they are provided and changed regularly to maintain high hygiene standards.  
    Q: Will I need to pay for transportation?  
    A: Yes, you are responsible for transport costs, except for the initial airport pickup.

    Q: Why is lunch not part of the package?  
    A: Volunteers often work during lunchtime. You have the option to bring your own lunch or purchase affordable meals in the vicinity.
    Q: Are T-shirts and identification tags available?  
    A: The organization offers T-shirts and tags for a fee. While T-shirts are optional, we strongly recommend obtaining a tag for identification while participating in our projects. The cost is $10 for a T-shirt and $6 for a tag. These purchases not only support the organization but also the projects we undertake. To help sustain its operations, UCESCO-AFRICA encourages volunteers to buy merchandise, which serves as a lasting reminder of their involvement and support.
    How to Acquire Merchandise: Merchandise can be purchased directly at the UCESCO-AFRICA offices. Payments can be made in cash or via mobile transfer (e.g., MPesa).
    Why Contribute Through Merchandise? The revenue generated from merchandise sales aids in funding UCESCO-AFRICA’s community initiatives, including programs for at-risk children and various outreach efforts.

    A typical daily schedule may be outlined as follows, with potential minor adjustments:

    • 8:30 a.m. - A nutritious and appetizing breakfast is provided.  
    • 9:30 a.m. - 1:30 p.m. - Volunteer work as previously detailed.  
    • 2:00 p.m. - 6:00 p.m. - Optional afternoon leisure activities as mentioned.

With its rich ecosystem, Kenya is home to around 400 species of mammals and an even greater number of bird species, providing an exceptional experience for wildlife enthusiasts. Visitors can expect to encounter some of the most iconic safari animals, including the Big Cats, elephants, rhinos, giraffes, and many others.  
    • Animals are categorized into mammals, featuring the renowned Big Five—lion, elephant, rhino, leopard, and buffalo—as well as the Big Nine, which includes additional animals that are also highly sought after during safari excursions in Kenya. These include the cheetah, giraffe, hippopotamus, and the commonly seen zebra. Many of our volunteers inquire about the best locations in Kenya to view all of the Big Nine. The ideal approach is to explore at least 2 to 3 different parks during your safari, with the Masai Mara National Reserve being one of the few locations where all of the Big Nine can potentially be spotted.

    Upon your arrival at Nairobi Airport (NBO), a UCESCO Nairobi representative will be waiting for you at the airport exit, identifiable by our name, UCESCO Africa, or a sign based on our previous WhatsApp conversations. You will then be taken to your accommodation in Nairobi in one of our private vehicles. The drive usually lasts around 15 minutes, subject to traffic conditions. Once you finalize your booking and secure your volunteer position with us, we will share our Whatsup number for easy communication, especially during your airport pick-up, as the airport offers reliable Wi-Fi.

    There can occasionally be delays with luggage. We have observed that some volunteers have experienced significant waits for their bags, sometimes up to three days. To prepare for such situations, we recommend that you pack essential items and a few clothes to change for 2 - 3 days in your carry-on bag. While luggage delays are not common, they can occur, and we want to help you avoid any unnecessary expenses, such as having to purchase clothing while waiting for your luggage.

    • All volunteer accommodations are equipped with running government-treated water; however, it is advised that volunteers refrain from drinking tap water and instead opt for bottled water. 
    • UCESCO provides housing options in either volunteer houses or homestays. Both types of accommodation feature spacious, beautifully finished apartments that are fully furnished, complete with en-suite rooms and bathrooms. These residences offer a comfortable and welcoming atmosphere, ensuring a memorable stay that encourages return visits. 
    • Each unit includes a furnished living room with armchairs, a flat-screen TV, complimentary Wi-Fi, and a fully equipped kitchen for those who wish to prepare their meals in addition to the provided options. 
    • Parking is available, and the premises are monitored by security personnel around the clock. Both homestays and volunteer houses are situated in a peaceful environment with friendly locals, making them ideal for volunteers to relax after a day of hard work. Weekly housekeeping services, including bedding changes, are provided every Saturday.

    Eten & Drank

    We provide two meals daily, as lunchtime often coincides with your time on the project site. You may need to purchase snacks or affordable meals nearby. Occasionally, you might share meals with students, but be cautious, as githeri (a mix of cooked maize and beans) may be challenging to digest if you are not accustomed to it. If you have specific dietary needs, such as vegetarian or vegan preferences, please inform us so we can accommodate you. We will strive to ensure your comfort, but as a volunteer, flexibility is essential for easy adaptation.

    Engaging in volunteer work in Kenya through our organization promises to be an exciting and transformative experience. You will have the opportunity to connect with new friendships and confront various challenges, all while immersing yourself in a different culture. To fully benefit from this experience, it is advisable to ensure that you are adequately prepared, both physically and mentally.

    Transportation

    "'Matatus''  is our local name, meaning public transport vehicles which serve as the predominant mode of public transport in Kenya. After spending a few days acclimating to your surroundings, you may wish to explore the local area, visit supermarkets, or access ATMs. Additionally, public transport may be necessary to reach your placement project. During your initial days, a member of the Kenyan team will accompany you until you feel comfortable navigating the routes independently. In Nairobi, Minbus and Matatus are widely used and often feature vibrant decorations, including neon lights and sound systems. they are affordable and enjoyable ways to travel. Alternatively, you may choose to utilize the Uber or Bolt applications for taxi services. These platforms are prevalent in Nairobi and are particularly safe for newcomers who may be unfamiliar with local pricing and destinations; thus, using Uber is highly recommended. If you wish to stop somewhere after arriving at the airport before being picked up by our team, consider using the Uber or Bolt app. Relying on Local taxis without knowledge of bargaining may result in inflated fares. When utilizing public transport, whether as a volunteer or a local, be mindful of the potential for pickpocketing due to crowded conditions. It is advisable to avoid carrying valuables or large amounts of cash. For longer journeys, we suggest coordinating travel arrangements with the UCESCO Staff to help you arrange for a safe travel.
